Job function/Scope:
Providing  support to  Operations  Manager on maintaining and updating  cost  and project  related  trackers; ensuring alignment  with Finance on accruals  on a monthly  basis. Responsible for raising department  related PR's,  for  collating  data
and raising  PO’s  and Call-offs.  Required to perform receipting  of goods/services in D365/Medius  so  as  to  facilitate  processing  of  invoicing.  Ensuring that   department  support  is  prioritized according to the department requirements and deliverables are achieved in accordance with outlined timelines. Charged with minuting  meetings,  answering telephone enquiries, ordering items for the department  e.g. PPE. Ensuring that the base skills & competency matrices are maintained and ensuring both service delivery and team targets are met in accordance with customer or company requirements.

Roles & Responsibilities
  • Prepare and maintain  all department related cost logs/ trackers
  • Ensure department accruals are submitted to Finance on a monthly basis
  • Reconcilation of monthly  figures with Finance system
  • Prepare all department related Purchase Requisitions
  • Perform receipting of goods/services in D365/Medius so as to facilitate processing of invoicing
  • Based on supplier quote s, as and when instructed, prepare all Purchase Requisitions,  and Contract call -offs for allocated site(s) .
  • Ensure D365/Medius queue is cleared every 1 -2 days
  • Collect, scan and input into D365 all employee & subcontracted labour timesheets by CoB each Monday for the prior week (or next working day for monthly based employee timesheets)
  • Maintain  equipment subcontractor tracking sheet, ensuring all delivery notes are recorded no later than 2 days after delivery
  • Resolve any queries arising from draft POs
  • Management of Petty Cash ensuring all transactions are recorded and cash in hand balances with statement 
  • Answer telephone and deal with enquiries
  • Manage general department office consumables needs and upkeep .
  • Charged  with   collating   weekly  and  monthly   timesheets   and  maintaining   holiday  planner;  updating operational registers.
  • File all base documentation
  • Any other duties assigned within the parameters of this role

  • Participate in Safety meeting where necessary and take minutes.
  • Empowered to “stop the job” if an action is considered unsafe and report to line supervisor.

Qualifications  and Experience
  • CAT/ CIPS or equivalent in related cost function field
  • Project Management Certification would be considered an asset
  • Knowedge and understanding of cost monitoring and controlling  mechanisms
  • Microsoft Office experience essential
  • At least One (1) Year Experience working in the oil and gas Industry
  • Familiar with working in a demanding office environment environment
  • Experience in dealing with competing demands
